One-time Events

A one-time event can either be classified as an in-person event or live-streamed via an online platform. A live course is an activity where the learner participates in real time and is planned as an individual event. Examples of a live course could be an annual meeting, one-off conference, or seminar.

Planning committee requirements

For Continuing Medical Education (CME) only activities, the lead planner must be a Dartmouth Health healthcare provider, researcher, or doctorally prepared professional who possesses an official, current, or emeritus/faculty appointment from the Geisel School of Medicine at Dartmouth and/or is an employee in good standing of Dartmouth Health member organizations and partners (at leadership discretion).

For Continuing Nursing Education (CNE) only activities, a Nursing Continuing Education Counsel (NCEC) Nurse Planner must be actively involved in the planning, implementing, and evaluating of the continuing education activity and represent that target audience. For Pharmacy only activities, a designated Dartmouth Health pharmacist is required to be on the planning committee and represent that target audience.

Interprofessional Continuing Education (IPCE) activities require an integrated planning process. The planning committee must include healthcare professionals who are representative of the target audience for the activity. One person on the planning committee must be designated as the Lead Planner.

Application process for approval of Dartmouth Health JA credit

  1. Review the Roles and Responsibilities of Activity Planners, Coordinators, and Center for Learning and Professional Development Staff for Live Accredited Continuing Education (ACE) Activities (PDF)
  2. Complete the online Continuing Education Accreditation Application including valid email addresses for all planners and faculty to enable the Financial Disclosure and Mitigation functionality of the system.
  3. Submit proposed budget (XLSX) for activity including details for estimated income and expenses.
  4. If there will be commercial money (grants or exhibitors) or non-commercial sponsorship associated with this learning activity, please contact ceaccreditation@hitchcock.org at the outset of the planning process.

Net balances for CE activities after July 1, 2012 (positive and negative) will roll into the Dartmouth Hitchcock Medical Center general ledger. Activity shortfalls will be covered by the Dartmouth Hitchcock Medical Center general ledger during the fiscal year as long as the activity final accounting indicates no extravagant or inappropriate expenses (e.g., unapproved resort locations, unplanned faculty dinners, etc.).

Please note:

  • Applications must be submitted no later than 45 days before a program. The new system will not permit applications within 45 days of the activity date. This may require activity planners to begin planning their programs earlier to ensure there is sufficient time for application submission. It can take up to 2 weeks for the application approval process.
  • Do not send any advertising of your activity with a mention of Dartmouth Health CE credit before credit is approved, as this violates Joint Accreditation criteria, and could lead to the denial of credit. It is unacceptable to use "credits applied for" or "credits pending approval". A save the date with no mention of credit is permissible. 
  • Registration and advertising for live activities must not be published prior to final approval of the activity application.
