A one-time event can either be classified as an in-person event or live-streamed via an online platform. A live course is an activity where the learner participates in real-time and is planned as an individual event. Examples of a live course could be an annual meeting, one-off conference, or seminar.
Planning committee requirements
Accredited continuing education (ACE) activities require an integrated planning process that includes healthcare professionals who are reflective of the target audience the activity is designed to address.
For all activities, the planning committee must include at least 2 people, including a content expert.
For Interprofessional Continuing Education (IPCE) activities, the planning committee must include a physician planner, nurse planner, pharmacist planner, social worker planner, etc. This ensures that all relevant professions are involved in the planning process.
The planning committee is comprised of appropriate representation of the target audience and accreditation type as follows:
- For continuing medical education activities, a Dartmouth Health healthcare provider, researcher, or doctorally prepared professional.
- For continuing nursing education activities, a Dartmouth Health registered nurse.
- For pharmacy activities, a designated Dartmouth Health pharmacist.
- For social work activities, a designated Dartmouth Health social worker.
- As accreditations for additional professions are added to Dartmouth Health accreditation types provided, representation of those professions must be included as well.
The person/discipline that is leading the program will be identified as the lead planner. See Lead Planner Eligibility for a Dartmouth Health Accredited Continuing Education (ACE) Activity Policy (PDF).
Lead planner requirements
The lead planner must:
- Be an employee in good standing of a Dartmouth Health member organization or one of Dartmouth Health partners.
- Have experience/training in providing continuing education.
- Take responsibility for the oversight of the financial integrity, provide activity reporting, and maintain accountability for adhering to all Dartmouth Health financial policies and procedures related to the activity.
- Ensure the planning committee is comprised of appropriate representation of the target audience and accreditation type as follows:

- For continuing nursing education activities, a Dartmouth Health NCEC nurse planner (see NCEC members.)
- For pharmacy activities, a designated Dartmouth Health pharmacist.
- For social work activities, a designated Dartmouth Health social worker.
- As additional accreditation professions are added to Dartmouth Health accreditation types provided, representation of those professions is included as well.

Application process for approval of Dartmouth Health JA credit
- Review the Roles and Responsibilities of Activity Planners, Coordinators, and Center for Learning and Professional Development Staff for Live Accredited Continuing Education (ACE) Activities (PDF)
- Complete the online Continuing Education Accreditation Application including valid email addresses for all planners and faculty to enable the Financial Disclosure and Mitigation functionality of the system.
- Submit proposed budget (XLSX) for activity including details for estimated income and expenses.
- If there will be commercial money (grants or exhibitors) or non-commercial sponsorship associated with this learning activity, please contact accreditedce@hitchcock.org at the outset of the planning process.
Net balances for CE activities after July 1, 2012 (positive and negative) will roll into the Dartmouth Hitchcock Medical Center general ledger. Activity shortfalls will be covered by the Dartmouth Hitchcock Medical Center general ledger during the fiscal year as long as the activity final accounting indicates no extravagant or inappropriate expenses (e.g., unapproved resort locations, unplanned faculty dinners, etc.).
The ACE office provides a standard evaluation and outcome measure that meets the accreditation requirements. If you would like an elevated outcome measure, please contact accreditedce@hitchcock.org for a consultation.
The ACE office offers several marketing services to aid in promoting accredited activities. Learn more about our marketing services.
Please note:
- Applications must be submitted no later than 45 days before a program. The new system will not permit applications within 45 days of the activity date. This may require activity planners to begin planning their programs earlier to ensure there is sufficient time for application submission. It can take up to 2 weeks for the application approval process.
- Do not send any advertising of your activity with a mention of Dartmouth Health CE credit before credit is approved, as this violates Joint Accreditation criteria, and could lead to the denial of credit. It is unacceptable to use "credits applied for" or "credits pending approval". A save the date with no mention of credit is permissible.
- Registration and advertising for live activities must not be published prior to final approval of the activity application.
